Start with the customer and the work
Confirm the customer's contact details and the service location. Ask what they need done, whether the work is recurring, and whether there are access instructions or timing constraints. For a cleaning business, that may include the areas to be cleaned and any work outside the usual scope.
Prepare an estimate people can understand
Describe the work being offered and the price. Identify anything that needs a separate discussion before the job is booked. Review the estimate with the customer so you have a shared understanding of what is included.
Confirm before scheduling
Check that the customer has agreed to the work and that the proposed time suits both sides. Review team availability before committing to a time. When questions remain, resolve them before the appointment becomes a promise.
Keep the arrival window separate from the expected work duration. The customer needs to know when to expect the team; the office needs to reserve enough time to deliver the service and travel to the next job.
Make the assignment clear
Give the assigned team the location, agreed work, timing, and relevant access instructions. Check that the information is current. If the customer changes the scope, update the job details and confirm any changes to the price or schedule.
Review completion and payment
After the visit, check whether the agreed work is complete and whether anything needs follow-up. Review the payment status separately so you know which jobs still need attention. Keeping these steps clear helps avoid assuming that a finished visit means every administrative detail is finished too.
LastFSM brings customer records, estimates, scheduling, team assignments, job updates, and balances into one workspace. The Payments plan adds online invoice payment collection through an eligible connected Stripe account; payment processing fees are separate.
A quick handoff checklist
Before moving the job to its next step, check these five questions:
- Do we have the correct customer and service location?
- Has the customer agreed to the scope and price?
- Are the appointment timing and team assignment clear?
- Does the team have the current job and access details?
- Have we reviewed completion, follow-up work, and payment status separately?
Start with a consistent process, then use those tools to keep the next step visible as your business grows.
